Business Communications: Key Principles Lead Your Business to Success

Business communication is exchanging and sharing information both internal and external organization. It contains the constant flow of communication as the shown chart.

Internally, we use business communication within the organization. Firstly, downwards communications involve providing information and instruction from the management section to the staff. It can also be the supports and motivates to the employees. Secondly, upwards communications are giving feedback, information, and the report on their activities from the employees to the management. Moreover, within the team, the staff can facilitate the exchanges of information and support between the departments in the coordination of work as the horizontally interdepartmental communications.

 

Externally, business communication is to promote a product, service, or to exchange information with external parties such as customers, partners, suppliers, and medias.

In order to reach the goal of successful communication, these are the key principles that are essentially concerned;

  1. Understand your audience

Before getting to communicate with someone or other companies, it is important find some basic information of the audience; for example, their interests and beliefs, background knowledge, and roles and personalities. This will help your audience get interested by sharing the same page of communication.

  1. Strive for clarity

Business communication focuses on the straight points and objectives. The use of complex technical terms can result in a lack of clarity. The message should be concise and easy to understand. Make it clear by following standard grammatical rules and terminology.

  1. Understand the context of your communication

If you have to communicate with multinational corporations, or the organization multiculturism, being mindful and having awareness of the broader multicultural context are important. Once, you understand theirs, you can start to communicate with them more effectively.

  1. Have a clear purpose in mind

The main objective of business communication is the achievement of targeted purpose such as to inform, to persuade, or to influence. Before engaging the audience to convey the message, you have to firstly set a clear objective in your mind. If it is clear to you, your communication will be more confident and effective.

  1. Select the most appropriate medium

Selecting media that is necessary to your purpose and your context is the right key to your successful communication. There are many channels of communication nowadays; for instance, face-to-face, email, VDO conference (1 by 1 and group), virtual meeting, and social medias. Make sure you choose the proper channel to suit your context and purpose.
